Clock-in geolocation

Where each clock-in happened, on a map, without following anyone through the day.

The problem it solves

With teams working out in the street, on site or at customers’ homes, the clock-in says when but not from where. And the easy fix, an app that follows the person all day, is exactly what the Spanish DPA considers disproportionate for checking working hours.

What it actually does

    One point, at clock-in

    The position is asked for once, when the clock-in window opens. It is not requested at clock-out or during breaks, and there is no tracking during the day or with the app closed.

    With its margin of error

    The map draws a circle showing the accuracy and warns when it is poor: a point with kilometres of margin looks exact on a map and is not.

    Nobody is left unable to clock in

    A denied permission or a phone with no signal does not stop anyone clocking in: the day is saved anyway, with the reason there is no position.

    The company decides

    It can be switched off in the settings, and then no position is requested or stored. Requiring it in order to clock in is a separate switch, off by default.

    Reviewed on a map

    Each clock-in opens a map with the point, the accuracy and the time, with a link to Google Maps. The same column is on each person’s profile and in the time record report.

  • 06

    Used for the clock-in only

    The location never reaches reviews, dashboards or the assistant’s answers: it is stored with the clock-in and used for that.

Frequently asked questions

  • Yes, if it is proportionate and staff are told beforehand. Article 90 of the Spanish data protection act (LOPDGDD) allows it for workplace control, and the DPA considers it acceptable to record the location at the moment of clocking in, not to follow the person through the day. That prior notice has to come from the company.
