The problem it solves

You know somebody is missing their medical certificate, but not who. Half the workforce’s ID expired and nobody noticed because nothing warns you. The data protection policy went out by email two years ago and you cannot prove anyone read it. And when somebody new joins, the list of what to ask them for lives in the head of whoever runs HR.

What it actually does

    Two kinds of requirement

    Upload a file, such as an ID copy or a certificate, or read and confirm, such as an internal policy. A reading is met with one button; an upload goes through approval.

    Applies on its own, with nobody assigned

    A requirement applies to the whole workforce or only to certain departments. Whoever joins tomorrow owes the same as everyone else without anybody building them a list.

    Expiry that asks again by itself

    An ID card expires on the date printed on it; a policy is reread every twelve or twenty-four months. On expiry the document is pending again with nobody having to remember.

    A matrix of the whole workforce

    People in the rows, requirements in the columns and a colour at each crossing. A gap is visible without reading anything, which is the difference between reviewing compliance and discovering it during an inspection.

    Approval with a reason

    What is uploaded waits for review, and rejecting it requires writing why. The person sees it in their file and knows what to fix, instead of getting an email saying it is not good enough.

    Proof of reading, with a date

    When somebody confirms they have read the risk prevention plan or the code of conduct, it is recorded with the date. That is what you are asked to evidence, and a sent email does not evidence it.
