The problem it solves
A network drive nobody has tidied since 2019, payslips in the director’s inbox and the latest version of a manual on the desktop of whoever wrote it. When somebody needs a document, they ask on the WhatsApp group. And every file with personal data outside your control is a compliance crack.
Payslips, manuals, templates, minutes, client documentation and whatever the company keeps today spread across a network drive, an inbox and three computers.
Their contract, their monthly payslips and whatever the company hands them, with no approvals or expiry dates. Only that person and whoever manages them can see it, and the employee opens it from the portal or the app.
Who can see what. A department head has no business accessing their team’s medical documents, and the GDPR requires precisely that minimisation.

What changes day to day
Yes, in transit and at rest, with a retention policy aligned with the GDPR and Spain’s LOPDGDD: keep what is necessary, for as long as necessary, and be able to prove it.
Yes. Each person has their own folder on their record, where the company uploads whatever it needs, as many files as it takes: one payslip a month, all kept. The employee sees it in the portal, under My files, and in the app, and sees nobody else’s.
The file repository is where you keep the company’s documents: folders, permissions and downloads. Document compliance is the other way round, what the company asks of each employee and has not received yet, with approval and expiry. One files what you already have; the other chases what is missing.
